Job Description

Kelly Hoppen Ltd is looking to recruit a shining star in the Buying world.

This is an exciting opportunity for an already established Buying Assistant or Graduate with previous work experience in a buying office. You will provide essential administrative support to the buying team in all aspects of the buying cycle.

Who we're looking for:

All candidates should be able to demonstrate experience of managing a database, will be process-orientated, and have the ability to think creatively. They must have good commercial awareness and be highly computer literate. It is important that they are able to understand the core values of the Kelly Hoppen brand style and be able to assist in the visual presentation of the product range.

Experience within a quality/luxury branded ecommerce or retail business would be advantageous.

The ideal candidate will have exceptional communication skills; they will be highly organised, proactive and comfortable working in a fast-paced environment. They must be able to perform well under pressure and be ready to adapt to any situation. This role will suit someone with the motivation and initiative to thrive in a small, dynamic organisation with the ambition and desire to grow with the company.


The main areas of responsibility for this role are:
• Manage the critical path of all products ensuring on time launches and delivery by focusing on:
o Managing our supply base to make sure they hit all relevant timescales
o Chasing and collating samples/certifications/test reports in a timely manner
o Creating and maintaining a tidy sample library
o Following up on labelling and packaging requirements
o Work with Buyer(s) and Agents to ensure set up and manufacture schedules
o Maintain a up to date critical path on the system.
o Work with Logistics and supply chain to support chasing suppliers where appropriate
o Weekly updates with Buyers(s) and other relevant teams
• Accurate administration support to Buying team including:
o Product set up
o Collating and filing all required documentation
o Preparing product information sheets, including photography
o Assisting in meeting preparation and presentations
o Sample management

• Assist in range building and product strategy:
o Carrying out competitive shops
o Collating tear sheets, swatches, photos etc.
o Regular sales and trend analysis, presenting information, and making recommendations.
o Visiting trade shows where relevant
• Work effectively with all internal teams, external companies and associates to ensure consistency, efficiency, professionalism and effective communication.
• Attend meetings as required and provide updates on your areas of responsibility upon request.
• Enforce and comply with all company policies and procedures which are fundamental in maintaining effective performance, communication, integrity, and the company’s brand and business reputation.
