We are currently recruiting for a Project oordinator to join our passionate and driven team.

The Project Coordinator will join the contract delivery team within OCS and will be responsible for supporting the Project Managers in the cradle-to-grave delivery of minor and major project activity across the Scottish Police Authority (SPA) estate in Scotland.

The successful candidate will collaborate with wider contract management in operations, capital projects and commercial workstreams which will seamlessly deliver a combination of Tier 1 to 3 minor and major project activities in a safe, compliant, and sustainable manner.

We are seeking an ambitious, driven and enthusiastic individual with meticulous attention to detail, creative thinking and who thrives on partnerships and successful outcomes. Ideally with experience in fast-paced technical & project engineering environments ensuring service is delivered to the highest standards in safety, quality, compliance and integrity. The role is office based.

Key Responsibilities:

- Provide a friendly and efficient service handling direct enquiries from the client, line management, and supply chain.
- Support project managers and estimating with estimates, enquiries and tender responses.
- Co-ordinate the production of all progress reports and produce project summary reports.
- Support project managers in pre-construction activity plans, safety plans and documents for project activities.
- Support project managers in O&M file completion.
- Liasing with asset management to update asset register with new and removed technical assets.
- Material and supply chain administration and procurement.
- Track project costs and report to business unit leader.
- Maintain tracker database and ensure updates are completed.
- Liaise with accounts payable to resolve supplier invoice queries.
- Assist with control of approved business documents for the account including CPPs, H&S documents and variation processes.
- Support project managers in establishing contract performance management procedures including targets and reporting mechanisms.
- Management of project WIP to ensure that the billing cycle is minimised, and all applications / accounts are accurate and are issued in a timely manner.
- Management of commercial risk through adherence to OCS commercial procedures and policies.


About You:

- Excellent IT skills in particularly MS Office, SharePoint, Teams, Excel and Word
- Experience in CAFM software package such as Concept or Maximo
- Excellent communication and interpersonal skills
- Thorough and meticulous person with an eye for detail
- Ability to work on own initiative
